Viewing footnotes and missing values

Footnotes and missing values provide more information about a cell's data.

To display the text of footnotes and missing values, hover over a cell that contains a footnote or missing value indicator. The footnote or missing value text appears in a popup.

footnotes

  • Footnote indicators appear inside brackets. For example: "(2,)"
  • Missing value indicators can appear alone in a cell or in combination with footnote indicators. They do not appear inside brackets. For example: "- - -".

Overview

The dimension area appears at the top and down the left side of a table. Dimensions are represented by dimension tiles. Dimension tiles have a textured area to show that they can be dragged and dropped. Dimensions can be switched, nested, or moved.

You can reorder dimensions without dragging and dropping by using Set dimension order. Sometimes this will be faster. To open the Set dimension order page, click the "Set dimension order" button on the toolbar.

Dimension names are underlined. Clicking on a dimension name opens the Item selection page so you can choose different items for the dimension.

A dimension is a category of data, such as Region, Date, or Gender. Dimensions are sometimes referred to as "Categories," "Variables," or "Fields."

Switching dimensions

Switching dimensions exchanges their positions. You can switch any dimension with any other. To switch dimensions, drag and drop one dimension onto another. The underlying dimension changes color to show that the dragged dimension can be dropped. .

In the following illustration, an Other dimension has been dragged to the column dimension area. The column dimension has changed color to show that you can drop the dragged dimension onto it, switching their places.

Moving dimensions

You can move row or column dimensions to and from the Other dimension area by dragging and dropping them. Do not drop on top of another dimension or the dimensions will switch places.

Both the rows and the columns must always contain at least one dimension.

Nesting dimensions

Nesting dimensions places one dimension inside another. It allows a report to display more than one row or column dimension at a time. You can nest dimensions by dragging and dropping them. The underlying dimension changes color on one edge only, to indicate where the nested dimension will appear.

In the screenshot below, an Other dimension has been dragged to the edge of the row dimension. The edge of the row dimension has changed color to show that the dragged dimension can be dropped and nested into it.

  • Percentage of column total

Once you have chosen an option, a checkmark appears beside it. Click on a selected option to deselect it

Display totals/percentages is only active if totals, percentages, or both have been enabled by the Administrator.

Notes on totals and percentages:

  • Totals and percentages are calculated based on the current selections along the innermost row or column dimension. (Total and percentage calculations can apply to a maximum of 8,000 items.)
  • Percentage values are calculated by dividing each data value by the sum of the items in the innermost dimension. (Missing values are treated as zeroes in percentage calculations.) (Note: Sort arrows do not appear if percentages have been applied to the data.).
  • Total and percentage options persist until you change them, or until you choose to view the same or a different report in the Reports tab.
  • Meaningful calculations cannot be performed if both a group item and any of the group's members are present in a row or column, because the group members would be counted more than once in the calculation.

Searching for items

If a dimension has a lot of items, the search box may be the best way to find the ones you want. Dimensions that only have a few items may not have a search box.

To search for items, enter a word or phrase in the search box and click Search. To clear the search and show all the items again, click Show all.

To limit the search - that is, to perform an 'AND' search - enter two or more words separated by a space. Only those items that contain all the words will be found.
